This tab allows you to set up notifications that can be sent out as part of column provisioning, grade Submitter and Approver workflows, and extract processes. These email notifications can use tokens to pull information from the specific job referenced in the email. To access the Notification Settings tab:
- Sign in to Blackboard.
- Access the Administrator panel.
- Select Platform Extensions from Cloud Management.
- Choose Edit Settings from the Grade Export v2 menu.
- Choose the Notification Settings tab.
Assignment & Grade Columns
These email notifications are sent when the grade column and assignment provisioning process has been completed.
- Enter the email addresses that should receive the email in the To Address field. This is often an admin email or a distribution list.
- Enter the email address that the email will appear to be coming from (for example, noreply@domain) in the From Address field.
- Enter the subject line for the email in the Subject field.
- Enter the template for the text of the email in the Body Template field.
Grade Extract
These email notifications are sent when the grade extract process has been completed.
- Enter the email addresses that should receive the email in the To Address field. This is often an admin email, a distribution list, or the $INSTRUCTORS$ token.
- Enter the email address that the email will appear to be coming from (for example, noreply@domain) in the From Address field.
- Enter the subject line for the email in the Subject field.
- Enter the template for the text of the email in the Body Template field.
Grade Event Notification
These notifications are sent when changes are made to the grades columns that were added by the Grades Journey integration. For example, if an instructor accidentally deleted a provisioned grade column, a notification would be sent to the specified email address informing the administrator of this situation so it could be corrected.
- Choose the Type of notification from the menu.
- None: no notifications are sent
- Email: notifications are sent by email
- Enter the email addresses that should receive the email in the To Address field. This is often an admin email or a distribution list.
- Enter the email address that the email will appear to be coming from (for example, noreply@domain) in the From Address field.
- Enter the subject line for the email in the Subject field.
- Enter the template for the text of the email in the Body Template field.
Approval Notification
This tab only appears when the Submitter workflow is enabled. These notifications are sent when grades are submitted, approved, or unapproved to users with Submitter or Approver roles.
- Turn on the Enable toggle to send approval notifications.
- Select the Type of notifications to send.
- Email: the notifications will be sent as emails
- Course Message: the notifications will be sent as course messages
- Enter the email address that the email will appear to be coming from (for example, noreply@domain) in the From Address field.
- Enter the subject line for the email in the Subject field.
- Enter the template for the text of the email in the Body Template field.
Invalid Grade
These notifications are sent when an extract encounters grades that are not valid. A file containing the records with invalid grades is attached to the email notifications. Each instructor receives only records for their own courses; administrators receive records from all courses that contain invalid grades.
- Enter the email addresses of the instructors who should receive the email notifications in the To Address field. Separate multiple addresses with commas or use the $INSTRUCTORS$ token. Instructor recipients will receive notifications only for those courses they are assigned to.
- Enter the email addresses of the administrators who should receive the email notifications in the Admin To Address field. Separate multiple email addresses with commas. Administrator recipients will receive notifications for all courses that have invalid grades.
- Enter the email address that the email will appear to be coming from (for example, noreply@domain) in the From Address field.
- Enter the subject line for the email in the Subject field.
- Enter the template for the text of the email in the Body Template field.
Grade Update
These notifications are static emails that are sent as reminders (for example, they may be sent to instructors to remind them to update the value of the Current Grade column) on a CRON-configured schedule.
- Choose the Type of notification from the menu.
- None: no notifications are sent
- Email: notifications are sent by email
- Enter a valid CRON expression to set the frequency for the email to be sent in the CRON Schedule field.
- Enter the email addresses of the instructors who should receive the email notifications in the To Address field. Separate multiple addresses with commas or use the $INSTRUCTORS$ token.
- Enter the email address that the email will appear to be coming from (for example, noreply@domain) in the From Address field.
- Enter the subject line for the email in the Subject field.
- Enter the template for the text of the email in the Body Template field.
Select Submit to save all your changes.
