Administrators must set up templates for emails sent to learners during the account creation, enrollment, and payment processes.

  1. Sign in to Course Catalog.
  2. Select Administration at the top right corner of the screen.
  3. Select Settings.
  4. Select the Notifications tab.

Account Creation Notifications

  1. Select Account Creation Notifications.
  2. Choose the appropriate Language for the emails.
  3. Fill out the Confirmation Code Notification subject and body fields. This email is sent to learners to deliver a verification token during the account creation process. Enter the text you want to send to the learner.
  4. Select the Substitutions button to place the desired tokens in the email—be sure to include the {{emailToken}} token so that a confirmation code is delivered.
     
Confirmation code email body and subject with substitution options
  1. Fill out the Welcome Email subject and body fields. This email is sent to learners after they have successfully created an account. Enter the text you want to send to the learner.
  2. Select the Substitutions button to place the desired tokens in the email.
  3. Select Create.
  4. Repeat steps 2-7 for each language you want to create the emails in.
  5. Select OK.

Profile Notifications

  1. Choose Profile Notifications.
  2. Choose the appropriate Language for the email.
  3. Fill out the subject and body of the Profile Update email. This email is sent to learners when they successfully update their profile. Enter the text you want to send to the learner in the body of the email.
  4. Select the Substitutions button to place the desired tokens in the email.
  5. Select Create.
  6. Repeat steps 2-5 for each language you want to create the emails in.
  7. Select OK.

Enrollment Notifications

  1. Choose Enrollment Notifications.
  2. Choose the appropriate Language for the email.
  3. Fill out the Enrollment Successful subject and body. This email is sent to learners when they successfully enroll in a course. Enter the text you want to send to the learner in the body of the email.
  4. Select the Substitutions button to place the desired tokens in the email—be sure to include the {{CourseName}} and {{CourseId}} tokens so the correct course information is included.
  5. Fill out the Learner Unenrollment Successful subject and body. This email is sent to learners when they have successfully unenrolled from a course. Enter the text you want to send to the recipients in the body of the email. Select the Substitutions button to place the desired tokens in the email—be sure to include the {{CourseName}} and {{CourseId}} tokens so the correct course information is included.
  6. Fill out the Manager Unenrollment Notification subject and body. When a learner successfully unenrolls from an offering, this email is sent to the email addresses entered when the offering was created. Enter the text you want to send to the recipients in the body of the email. Select the Substitutions button to place the desired tokens in the email—be sure to include the {{CourseName}} and {{CourseId}} tokens so the correct course information is included.
  7. Fill out the Waitlist Success Notification subject and body. This email is sent to learners when they are successfully enrolled in an offering from the waitlist. Enter the text you want to send to the learner in the body of the email. Select the Substitutions button to place the desired tokens in the email—be sure to include the {{CourseName}} and {{CourseId}} tokens so the correct course information is included.
  8. Fill out the Waitlist Pending Notification subject and body. When learners add themselves to the waitlist, this email is sent to the email addresses entered when the offering was created. Enter the text you want to send to the recipients in the body of the email. Select the Substitutions button to place the desired tokens in the email—be sure to include the {{CourseName}} and {{CourseId}} tokens so the correct course information is included.
  9. Select Create.
  10. Repeat steps 2-9 for each language you want to create the emails in.
  11. Select OK.

Learner Payment Notifications

  1. Select Learner Payment Notifications. These emails will be sent to the learner based on whether payment for a premium course was successful or unsuccessful.
  2. Choose the appropriate Language for the emails.
  3. Fill out the subject and body for the Success Notification email. This email will be sent to the learner when the learner’s payment is processed successfully. Enter the text you want to send to the learner in the body of the email.
  4. Select the Substitutions button to place the desired tokens in the email—be sure to include all the required information.
  5. Fill out the subject and body for the Unsuccessful Notification email in the same way. This email will be sent to the learner when the learner’s payment is not processed successfully. Enter the text you want to send to the learner in the body of the email.
  6. Select the Substitutions button to place the desired token in the email—be sure to include all the required information.
  7. Select Create.
  8. Repeat steps 2-7 for each language you want to create the emails in.
  9. Select OK.

Merchant Payment Notifications

  1. Select Merchant Payment Notifications. These emails will be sent to the merchant based on whether payment for a premium course was successful or unsuccessful.
  2. Choose the appropriate Language for the emails.
  3. Fill out the subject and body for the Success Notification email. This email will be sent to the merchant when the learner’s payment is processed successfully. Enter the text you want to send to the merchant in the body of the email.
  4. Select the Substitutions button to place the desired tokens in the email—be sure to include all the required information.
  5. Fill out the subject and body for the Unsuccessful Notification email in the same way. This email will be sent to the merchant when the learner’s payment is not processed successfully. Enter the text you want to send to the merchant in the body of the email.
  6. Select the Substitutions button to place the desired tokens in the email—be sure to include all the required information.
  7. Select Create.
  8. Repeat steps 2-7 for each language you want to create the emails in.
  9. Select OK.

Managed Enrollment Notifications

  1. Select Managed Enrollment Notifications.
  2. Choose the Language for these emails.
  3. Fill out the subject and body for the Learner Managed Enrollment Successful email. This email will be sent to learners once they have successfully enrolled in a managed enrollment course before they are approved.
  4. Select the Substitutions button to place the desired tokens in the email—be sure to include the course name and course ID.
  5. Fill out the subject and body for the Manager Approval Notification email. When a learner self-enrolls in a managed enrollment course, this email will be sent to the email addresses specified when the offering was created.
  6. Select the Substitutions button to place the desired tokens in the email—be sure to include the username, course name, and course ID.
  7. Select Create.
  8. Repeat steps 2-7 for each language you want to create the emails in.
  9. Select OK.

Graduation Notifications

Graduation notifications are sent to learners based on a date configured in the system. Please submit a support ticket for assistance setting up the configuration for sending these emails.

  1. Select Graduation Notifications.
  2. Choose the appropriate Language for the email.
  3. Fill out the subject and body for the Graduation Template email. This email is sent to learners on a schedule based on the learner's graduation date configured in the system. Enter the text you want to send to the user in the body of the email. 
  4. Select the Substitutions button to place the desired tokens in the email.
  5. Select Create.
  6. Repeat steps 2-5 for each language you want to create the email in.
  7. Select OK.

Withdrawal Notifications

Withdrawal notifications are sent to learners who are individually selected. These emails can be personalized to say whatever you want them to say; for example, you could create a template to explain that a learner is being withdrawn from the program and their account is being disabled. You can also use this process to set learners' accounts to unavailable or disabled.

 Build Withdrawal Notification templates

  1. Select Withdrawal Notifications.
  2. Select Manage Templates.
  3. Enter a Template name then fill in the subject and body of the email for that template. This email will be sent to hand-selected students, so it can be related to withdrawal or any other subject you may need to send email about repeatedly.
  4. Select the Substitutions button to place the desired tokens in the email.
  5. Select Create.
  6. Repeat steps 3-5 for as many templates as you want to create.
  7. Select OK.

Send Withdrawal Notifications

  1. Select Withdrawal Notifications.
  2. Select User Search to search for users.
    1. You can search using Username, Student ID, or Email.
    2. You can filter your search results by Date Created.
    3. Select each user you want to add to the list and select Submit to add those users to the list.
  3. Select a template from the list.
  4. Make any changes you want to the subject and body of the email. These changes will not affect the template, only the email you are currently sending.
  5. If you want to change the status of the learners' accounts, select the Set the account(s) checkbox and choose the updated status from the list.
  6. Select the Remove graduation dates checkbox to remove the graduation dates from the learners' accounts.
  7. Select Send email to selected user(s).
